Dexter is the data controller for the personal data described in this Privacy Policy unless we state otherwise. Read this policy together with any specific privacy notices provided at the point of data collection, for example, on recruitment forms, client onboarding documents, or event registration pages. We may update this Privacy Policy from time to time to reflect legal, technical or business developments. We will make the latest version available through our usual communication channels and, where appropriate, on our website.

This Privacy Policy covers personal data collected through our website and in the course of general business interactions — for example, enquiries, marketing, recruitment, and supplier or partner contacts. It does not cover personal data processed through the Dexter platform on behalf of our customers (for example, study or patient-level data), which is governed by the relevant customer agreement, data processing agreement, and the customer’s own privacy notice, and for which the customer or data provider is the data controller.

Information We Collect

Depending on how a person interacts with us, we may collect identification and contact details such as name, job title, company, postal address, email address and telephone number; account and service data; payment and billing information; correspondence and enquiry records; marketing preferences; recruitment information; technical and device data such as IP address, browser type, operating system, approximate location, cookies and usage data; and any other personal data voluntarily provided to us.

How We Use Personal Data and Our Lawful Bases

We use personal data to operate our business, provide products and services, manage accounts, respond to enquiries, deliver support, administer contracts, process payments, maintain security, recruit staff and contractors, comply with legal obligations, improve our services, and communicate with clients, prospects and partners.

Our lawful bases for processing may include: performance of a contract; taking steps at the request of a data subject before entering into a contract; compliance with a legal obligation; legitimate interests, such as operating and improving our business, securing our systems, preventing fraud, and managing customer relationships; and consent where required, including for certain marketing activities or optional cookies. Where consent is used, it may be withdrawn at any time.

Where we send electronic marketing, we will do so in accordance with applicable UK law, including the Privacy and Electronic Communications Regulations (PECR), where relevant. Individuals can opt out of marketing communications at any time by using the unsubscribe option in the message or by contacting us directly.

Sharing and Disclosure of Personal Data

We may share personal data with trusted service providers and professional advisers who support our business operations, such as hosting providers, cloud platforms, analytics providers, IT support, payment processors, legal advisers, accountants, insurers and recruitment providers. We may also share information with regulators, law enforcement bodies, courts, government authorities or other third parties where required by law, to establish or defend legal claims, or to protect rights, property, systems or individuals.

International Transfers

Where personal data is transferred outside the United Kingdom, we will take steps to ensure that appropriate safeguards are in place as required by law. These may include transfers to countries recognised as providing adequate protection or the use of contractual and organisational safeguards designed to protect personal data.

Data Retention

We keep personal data only for as long as necessary for the purposes for which it was collected, including for legal, regulatory, tax, accounting, contractual, security and reporting requirements. As a general guide, enquiry and general correspondence records are normally retained for up to 24 months after the last meaningful contact; client and supplier contract records are normally retained for the term of the relationship and for up to 6 years afterwards; financial, tax, VAT and accounting records are normally retained for up to 6 years or longer where law requires; recruitment records for unsuccessful candidates are normally retained for up to 12 months unless a longer period is justified and lawful; marketing suppression records are retained for as long as needed to ensure we respect opt-out requests; and security logs, audit trails and technical records are retained for a limited period that is appropriate to security, troubleshooting and legal requirements. Where personal data is included in prompts, support tickets, testing materials, or service records, we retain it only for as long as reasonably necessary for service delivery, support, security, legal compliance, and the establishment, exercise, or defence of legal claims. When personal data is no longer required, we will delete it, anonymise it, or securely archive it where appropriate.

Cookies and Similar Technologies

Our website may use cookies and similar technologies, including, where applicable, local storage, pixels and similar tools, to operate the website, maintain security, remember user preferences, understand how the website is used, and, if we use them, support advertising or campaign measurement. Strictly necessary cookies may be placed without consent where they are genuinely required to provide a service requested by the user or to ensure essential website functionality and security. For other cookies and similar technologies, we will provide clear information and, where required by law, request consent before placing them. If we rely on a legal exemption for limited statistical analytics cookies or appearance and preference cookies, we will use them only for that exempt purpose, provide clear information about them, and offer an easy way to object or turn them off. Advertising, cross-site tracking, profiling and any non-essential third-party cookies will be used only where the required consent has been obtained. Users can manage their cookie choices through our cookie settings tool and change browser settings, although blocking certain technologies may affect the performance or functionality of parts of the website.

Information Security

We implement appropriate technical and organisational measures to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure, or access. These measures may include access controls, encryption where appropriate, monitoring, secure development practices, supplier due diligence, staff training, confidentiality controls, and incident response procedures. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your Rights

Individuals may have rights under data protection law, including the right to request access to personal data, rectification of inaccurate data, erasure in certain circumstances, restriction of processing, objection to processing, data portability where applicable, and the right to withdraw consent where processing is based on consent. Individuals also have the right to object to direct marketing at any time. Requests can be made using the contact details set out below, and we will respond in accordance with applicable law.

Complaints and contact details

If you have any questions, requests, or complaints about this Privacy Policy or our handling of personal data, please contact Dexter Software using the contact details published on our website or provided below. You also have the right to complain to the Information Commissioner’s Office if you believe your personal data has been handled unlawfully or unfairly. Where required by law, we will maintain and operate an appropriate data protection complaints process.
